How does flight planning work for the world's largest peacetime Airlift?

We spoke with Shannon Peterson, regional sales director and Special Olympics Airlift chair delegate, to learn more about the highly coordinated event. Shannon previously participated in planning the 2014 and 2022 Airlifts and has been a dedicated member of Textron Aviation since 1995.  

Q: Why is the Special Olympics Airlift and its flight planning so meaningful to you personally? 

This event is incredibly close to my heart. The Airlift isn’t just about logistics — it’s about creating a seamless, uplifting experience for athletes who’ve worked so hard to get here. Every detail we plan and every route we coordinate is a step toward making them feel celebrated and supported. Seeing the joy on their faces when they land makes all the months of preparation worth it. It’s a powerful reminder of how aviation can bring people together for something truly special. 

Q: How is the schedule managed with so many aircraft? 

This is one of the most choreographed events in general aviation. We land aircraft every 2 to 4 minutes, for approximately 10 hours. And once they’re on the ground, the choreography continues! Through disembarking athletes and bags to fueling, services, and a pilot break, every step is thoughtfully considered. We also consider each state’s location and fleet size to build a schedule that’s efficient and smooth for everyone involved. 

Q: How will Doves be prepared for arrival and departure procedures? 

We’re committed to making sure every Dove feels confident and ready. That’s why we’ll host virtual training sessions ahead of the event. These sessions will walk pilots through every detail — from arrival day logistics to departure timing — so they know exactly what to expect. 

Q: Do Doves handle their own flight planning? 

Textron Aviation works closely with the FAA to coordinate routing and arrival times. We’ll provide each Dove with their designated route and time well in advance. From there, it’s up to the pilot to file their flight plan accordingly using their Dove callsign. 

Q: Where will athletes be picked up? 

Each participating state delegation selects one departure airport and FBO. Some Doves may be asked to pick up athletes from a neighboring state. We’ll coordinate those details directly with each pilot. 

Q: What’s the timing for arrivals and departures? 

Arrivals begin early on Friday, June 19, 2026. Some Doves may need to reposition the night before. Departures from KSTP will start as early as 7:00 a.m. on Saturday, June 27, with some aircraft arriving the day before to be fueled and staged.
